Working With a Virtual Assistant

What is a Virtual Assistant?

A Virtual Assistant (VA) supports your business by taking on tasks that eat up your time or drain your energy. We focus on marketing, tech and digital organisation, so you can spend more time running your business — or doing the things you enjoy.

Whether you need help with email marketing, automations, admin, content, or general business support, we’re here to make your day-to-day work easier.

What are the benefits of working with a Virtual Assistant?

Why is social media management separate from VA work?

Social media work naturally includes content creation, strategy and planning — which goes beyond the typical VA role.

Because of this, we treat social media management as its own service, with its own structure and pricing.

This keeps everything clearer and ensures you get the right level of support.

Can you support me even if I’m “bad at tech”?

Absolutely.

Many of our clients feel exactly the same way.

We’re happy to walk you through tech step-by-step on Zoom and explain things clearly — no jargon, no judgement.

Do you work with neurodivergent or chronically ill business owners?

Yes — many of our clients are neurodivergent, chronically ill, or simply have fluctuating energy levels.

Jo’s a spoonie herself, so fully understands the need for flexibility, clear communication, and pressure-free support.

How We Work Together

What is the best way to brief you on tasks?

Whatever works for you.

You can brief us by email, Zoom, Loom videos or a project management tool.

Clear instructions help us complete tasks quickly and accurately.

After receiving your request, we’ll confirm the details, outline the work involved and give you a time estimate.

Once you approve it, we get started.

How do you track your time?

We use Toggl to track time for all VA tasks. You’ll always receive an estimate before work begins, so you know what to expect.

How fast do you work?

We aim to work efficiently, but quality always comes first.

You’ll see clear timelines in your statement of work, so there are no surprises.

If you need someone who rushes, we’re probably not the right fit.

If you want someone who gets things done properly, you’re in the right place.

Do you offer urgent or last-minute support?

Sometimes.

If our schedule allows it, we can take on urgent work.

We prefer at least 48 hours’ notice, but if something truly can’t wait, we may be able to help.

Same-day requests include an additional £25 per hour urgency fee.

Will you come into my office to offer support?

Bright Cat is a remote-only service.

We offer remote support so we can work with more clients and stay flexible.

Working remotely has never affected the quality of the results we deliver.

What tools do you work with?

A lot!

We work with WordPress, Divi, Elementor, MailerLite, Mailchimp, MemberPress, Canva, Trello, Monday, HubSpot, Riverside, Kit, ThriveCart, Adobe tools, and many more.

If you’ve got a tool we haven’t used, we’ll learn it — quickly.

Packages, Pricing & Payments

How much do your services cost?

Our pricing is designed to be clear, flexible, and accessible for small businesses — with options for one-off projects, monthly support, and ongoing retainers.

Here’s a quick overview:

✔ Virtual Assistant & Marketing Tech Support
Ad-hoc support is £60 per hour, with discounted rates available when you book monthly hour blocks (5, 10, 15 or 20 hours).

✔ Social Media Pick & Mix Packages
Each module is individually priced so you only pay for what you need — starting from £150.

✔ Video, Podcast, and Website Services
These are packaged services with set pricing, all listed in detail on their respective pages.

If you’re not sure which option fits best, we’re always happy to walk you through it.

How do payments work?

Retainers are paid in advance via bank transfer.

Invoices for the next month go out on the 25th and are due by the 1st.

Work pauses if the invoice isn’t paid on time.

For project work, payments may be split — but at least 50% is always due upfront.

What if I run out of hours?

We’ll let you know before that happens.

You can choose to top up, and extra hours are billed at your current package rate on the next month’s invoice.

Do unused VA hours roll over?

Generally, no — it’s a use-it-or-lose-it model.

However, exceptions can be made for emergencies, illness or situations outside your control.

If we’re unable to deliver your hours due to illness, they will also roll over for one month.

Policies, Contracts & Confidentiality

Do you sign NDAs or confidentiality agreements?

Yes.

All clients sign contracts and data protection agreements before work begins, and we’re always happy to sign your NDA as well.

Do you require long-term contracts?

Nope! Most services are month-to-month or project-based.

If you want ongoing support, we’ll choose a package that suits you — but you’re never locked into long contracts.

You just have to give us a months’ notice if you want to leave.

Getting Started

What’s the process for getting started?

Everything begins with a free discovery call.

During the call, we chat about your needs, preferred working style and any current challenges.

After that, we’ll send a contract outlining the support that works best for you.

When you’re happy with the plan, we get started.

Absolutely. If you’re not sure what you need, just book a free call and we’ll talk you through the options based on your goals, budget, and bandwidth.
